Shared customer inboxes
Teams coordinating support@, sales@, billing@ or operations mail without sharing a password or duplicating replies.
Independent tool overview
Missive is a collaborative communications workspace that layers shared inboxes, internal chat, assignments, tasks, automation and AI over Gmail, Microsoft 365, IMAP, SMS and supported social channels. It is strongest for small and midsize teams that want to coordinate customer-facing work without turning every message into a traditional help-desk ticket. The permanent Free plan supports up to three users with 15 days of history; annual paid pricing is $14, $24 or $36 per user per month, while monthly billing is $18, $30 or $45. Productive is the practical starting tier for rules, integrations, API access, analytics and the AI assistant. Missive is SOC 2 Type II compliant and offers 2FA on every plan, but it stores imported message data in US infrastructure, is not HIPAA compliant and sends selected conversation content to the chosen AI provider when AI features run. Teams should test permissions, routing rules, retention, exports and human approval before moving a live inbox.

Overview
Missive is a team email and communications client, not an email hosting provider. Gmail, Microsoft 365 or an IMAP provider continues to hold the underlying mailbox while Missive adds a collaborative access and workflow layer.
The core experience combines personal and shared inboxes with internal comments, team chat, collaborative drafts, assignments and tasks. That can replace forwarding, shared passwords and status-check messages for teams that work primarily from an inbox.
Supported channels listed on the current pricing page include Gmail, Google Workspace, Outlook, IMAP, WhatsApp, Messenger, Instagram and SMS or video chat through Twilio. Each external channel has its own eligibility, policy and data-handling requirements.
Rules can label, assign, follow up and route conversations automatically. Productive and Business also include integrations, API access and analytics; Business adds SAML SSO, IP restrictions, advanced reporting and personalized onboarding.
Missive's AI features can draft replies, summarize or translate conversations, run reusable prompts and automate classification or routing. Current materials list OpenAI, Anthropic and Google Gemini, with Missive AI credits or bring-your-own-key options depending on the setup.
The assistant can search connected email and calendar data and use integrations or MCP connections to retrieve outside context. That convenience increases the amount of information an AI action may touch, so administrators should limit connectors and test permissions deliberately.
AI-generated replies are suggestions, not verified customer communications. A person should check names, dates, prices, refund terms, commitments, legal language and sensitive advice before sending.
Missive says it does not train models on customer data. When AI is invoked, relevant content goes to the selected provider, whose retention, residency and opt-in controls still apply; bring-your-own-key accounts also create separate provider billing and administration.
Security controls include SOC 2 Type II compliance, encryption at rest and in transit, per-user access, audit trails, tracker blocking and 2FA on all plans. SAML SSO and IP restrictions require Business.
Missive stores its service data in US infrastructure and explicitly says it is not HIPAA compliant and will not sign a BAA. Organizations handling protected health information should choose a suitable alternative rather than treating general security claims as regulatory coverage.
The best evaluation is a bounded pilot with a low-risk shared inbox. Measure assignment clarity, duplicate-reply prevention, response time, automation errors, notification load and export quality before expanding access.
Use cases
The strongest fit depends on the job you need the product to complete, not the size of its feature list.
Teams coordinating support@, sales@, billing@ or operations mail without sharing a password or duplicating replies.
Agencies, accounting firms, logistics teams and professional services groups that need internal discussion beside each external thread.
Turning messages into assigned, dated tasks while keeping the original conversation as context.
Handling email plus selected SMS and social conversations in one team workspace.
Teams prepared to test routing, follow-up and AI rules against a review queue before allowing autonomous actions.
Capabilities
Keeps individually owned accounts and shared addresses in one client while preserving private email by default.
Adds internal comments, mentions, team chat and collaborative drafting beside the customer conversation.
Gives conversations an owner and supports due dates, multiple assignees, references and calendar views.
Automates labeling, routing, assignment and follow-up workflows on Productive and Business.
Drafts replies, summarizes long threads, translates text and applies shared prompts with supported model providers.
Uses model judgments for tasks such as intent classification and routing; these require monitoring because outputs are probabilistic.
Connects CRM, project, storage, calendar, meeting and selected MCP services so agents can retrieve outside context.
Productive includes basic analytics and API access; Business adds deeper company, SLA, team and user reporting.
Lets limited external collaborators view and comment on selected conversations without replying externally or browsing the whole inbox.
Provides roles, audit history, 2FA, exports and deletion controls, with SAML SSO and IP restrictions reserved for Business.
Process
Step 1
Start with one low-risk shared address and a small group instead of connecting every executive, legal or regulated inbox at once.
Step 2
Define which teams can see each account, who may send externally, who can change rules and who handles escalations.
Step 3
Require individual accounts and 2FA, avoid shared credentials and evaluate Business if centralized SAML enforcement or IP restrictions are necessary.
Step 4
Authorize the minimum mailboxes, calendars and third-party services; review scopes and channel-provider terms before importing customer data.
Step 5
Use a small label and assignment system with explicit response owners before adding complex automation.
Step 6
Run routing and classification against representative messages, inspect false positives and keep a manual recovery queue.
Step 7
Choose the provider and model deliberately, review retention and residency, restrict connectors and exclude confidential fields that are not needed for the task.
Step 8
Require a person to verify customer identity, account state, policy, pricing and commitments before an AI draft leaves the organization.
Step 9
Track unassigned threads, duplicate replies, missed SLAs, incorrect routing, reopened conversations and unexpected AI or provider spend.
Step 10
Test data export, employee offboarding, rule rollback, channel disconnection and account deletion before depending on the workspace.
Cost
Missive has a permanent Free plan and three per-user paid plans. Current annual prices are $14 for Starter, $24 for Productive and $36 for Business per user per month; the corresponding monthly prices are $18, $30 and $45. Annual billing saves 20%. Free is limited to three users, 15 days of visible history and two shared accounts. Starter supports up to five users, Productive up to 50 and Business unlimited users. Productive is the first practical tier for integrations, rules, API access, basic analytics and AI. Current pricing materials say Productive and Business can use Missive AI credits or a connected provider key; verify the included credit allowance and separate provider charges inside the account. Additional shared accounts cost $15 per month per five beyond the included pool. Prices are in USD and were checked August 31, 2026.

Missive helps teams manage personal and shared email, supported messaging channels, internal discussion, assignments, tasks, rules and AI from one collaborative workspace.
No. Gmail, Microsoft 365 or another provider remains the mail server. Missive imports and stores messages to provide its team collaboration layer.
Yes. The permanent Free plan supports up to three users, 15 days of visible history and two shared accounts for the organization.
As of August 31, 2026, annual pricing is $14 per user/month for Starter, $24 for Productive and $36 for Business. Monthly pricing is $18, $30 and $45 respectively.
The current pricing and AI materials place the AI assistant and AI automations on Productive and Business. Verify the included Missive credits or bring-your-own-key setup inside the account.
Missive says it does not train models on customer data. When an AI feature is used, relevant content is sent to the selected OpenAI, Anthropic or Google service, whose own controls and retention terms apply.
AI can participate in rules and automation, but teams should keep human approval for outbound messages until they have measured errors and constrained the workflow. Never let an unverified draft make financial, legal, medical, policy or account promises.
Missive reports SOC 2 Type II compliance, encryption at rest and in transit, audit trails and 2FA on every plan. Security fit still depends on permissions, connected services, residency requirements and administrator configuration.
No. Missive explicitly says it is not HIPAA compliant and does not sign Business Associate Agreements. Do not use it for protected health information.
Not by default. Missive says personal emails remain private unless the user grants account access or invites coworkers to a specific conversation. Administrators should still test role and sharing behavior before rollout.
Missive documents exports for conversations, comments, contacts, addresses, canned responses and rules. It also documents account deletion, with data removal from databases, storage, backups and logs within 30 days after the required connected resources and organizations are removed.
Teams requiring a HIPAA BAA, unsupported data residency, enterprise identity controls below the Business tier or a full help-desk suite should compare alternatives before migrating.
Bottom line
Missive is a strong choice when a team's real work already lives in customer email but shared passwords, forwarding and disconnected chat are creating ambiguity. Its combination of thread-level collaboration, assignments, tasks, rules and multiple channels is unusually coherent, and the three-person Free plan makes a meaningful pilot possible. Productive is the realistic tier for the automation and AI capabilities that differentiate it. The tradeoffs are equally concrete: Missive stores imported communications in US infrastructure, advanced identity controls cost more, connected channels widen the data boundary and the product is not suitable for protected health information. Adopt it through a narrow pilot, least-privilege permissions, tested rules and mandatory human review of AI-generated customer communications.
